Correspondence and Communication</strong></p><ul><li>Receive, screen, register, and appropriately channel telephone calls, emails, letters, invitations, and other communications addressed to the General Manager.</li><li>Draft routine correspondence and communication materials based on the General Manager's instructions.</li><li>Maintain a confidential register and tracking system for incoming and outgoing correspondence of the General Manager's office.</li><li>Ensure timely circulation of instructions and approved communications to relevant staff and departments.</li><li>Facilitate communication between the General Manager and JASMAR departments, field offices, partners, government authorities, donors, and other stakeholders as authorized.</li><li>Maintain professional, courteous, and diplomatic communication on behalf of the General Managser's office.</li></ul><p><strong>D. Records and Filing Management</strong></p><ul><li>Maintain systematic and confidential physical and electronic filing systems for the General Manager's office.</li><li>Maintain registers and trackers for correspondence, meetings, decisions, action points, official invitations, appointments, and other matters assigned by the General Manager.</li><li>Ensure that important documents and records are securely stored and can be retrieved efficiently when required.</li><li>Protect confidential documents from unauthorized access, disclosure, loss, or damage.</li><li>Support proper archiving and retention of the General Manager's office records in accordance with JASMAR policies.</li></ul><p><strong>E. Office Supplies and Administrative Logistics</strong></p><ul><li>Ensure that the General Manager's office has the necessary stationery, supplies, communication materials, and other routine administrative requirements.</li><li>Coordinate logistical arrangements for meetings, official visits, appointments, and events involving the General Manager.</li><li>Support travel, accommodation, transportation, visa, and other logistical arrangements for the General Manager and official visitors when assigned.</li><li>Prepare and organize documents, briefing materials, and other requirements for the General Manager's official missions and engagements.</li></ul><p><strong>F. Meeting and Event Support</strong></p><ul><li>Coordinate internal and external meetings involving the General Manager, including invitations, agendas, venue arrangements, documents, and participant coordination.</li><li>Prepare briefing notes, meeting folders, presentations, attendance sheets, and other required materials.</li><li>Record minutes, decisions, and action points when assigned.</li><li>Maintain an action-point tracker and follow up on assigned actions as directed by the General Manager.</li><li>Support the General Manager's participation in conferences, workshops, official visits, partner meetings, and other events.</li></ul><p><strong>G. Coordination and Follow-up Support</strong></p><ul><li>Maintain a tracker of decisions, instructions, pending issues, and follow-up actions assigned by the General Manager.</li><li>Coordinate with relevant departments to obtain requested information, reports, updates, and documents for the General Manager.</li><li>Remind responsible staff of deadlines and pending actions, without assuming decision-making authority.</li><li>Compile information and prepare concise summaries or status updates for the General Manager when requested.</li><li>Support coordination between the General Manager's office and senior management, department heads, field offices, and other designated focal points.</li></ul><p><strong>H. General Administrative Support</strong></p><ul><li>Provide administrative support directly related to the work of the General Manager and the Office of the General Manager.</li><li>Assist in preparing organizational documents, presentations, reports, briefing notes, and other materials requested by the General Manager.</li><li>Support coordination of official communications and engagements with partners, donors, government institutions, and other stakeholders.</li><li>Perform other reasonable administrative and secretarial duties assigned by the General Manager.</li><li>Maintain confidentiality regarding organizational, staff, partner, financial, program, and beneficiary information accessed through the position.</li></ul><p><strong>I. Founded in 1982 and a co-recipient of the 1997 Nobel Peace Prize, the organization has been working alongside vulnerable populations, in particular people with disabilities. Today, more than 4,500 people, including 3,500 national field staff and 300 international staff, work for HI in a wide range of contexts, implementing more than 400 projects in over 60 countries.</p><ol><li><strong>Humanity & Inclusion in Sudan</strong></li></ol><p>HI has initiated its programmatic response to the Sudan crisis in January 2024. Together with a Sudanese NGO, we provide physical and functional rehabilitation as well as mental health & psychosocial support in health centers and communities. HI is further leading disability inclusion mainstreaming at humanitarian coordination level.</p><p><br> </p><p>HI is scaling up its intervention in Sudan while expanding its programmatic and geographical scope, to respond to the catastrophic humanitarian crisis affecting Sudanese people.</p><ol><li><strong>Role</strong></li></ol><p>Reporting to the CountryDirector, the CountryHR manager ensuresthe efficient management of human resources for the Mission for which s/he is responsible. S/he participates actively in the phased reorganisation of HI in the field as part of the ROOTS project and in efforts to retain staff and open up key posts to national staff, helping to ensure that HI is recognised as an “employer of choice in the aid</p><p>sector” (2016 2025 strategy).</p><p>S/he advisesthe Country Directoron the organisation’s continuous improvement, notably with regardto managerial aspects and support to changes in working practices.</p><p>S/he is the point person for the operational HR centres at HQ, especially Personnel Administration Unit.</p><p>This positioncalls for regularvisits to the field to ensure adequateHR management and monitoring </p><h4>Duties and responsibilities</h4><ol><li><strong>Responsabilities</strong></li><li>Strategy and Steering</li></ol><ul><li>Contributes towards the drafting, revision and implementation of operational strategy (StratOp) within his/her scope of responsibility;</li><li>Provides the Regional Director with HR options to support the implementation of the StratOp locally;</li><li>Produces and updates the risk map covering his/herscope of responsibility. Coordination, Supervision, Technical & Administrative Guidance</strong></p><p> </p><p><i><strong>Responsibilities:</strong></i></p><ul><li>Collaborate and coordinate epidemiological activities with medical teams at coordination and project levels including during the Annual Review of Operations (ARO)</li><li>Ensure alignment of epidemiological priorities with mission strategy.</li><li>Coordinate with external stakeholders (Ministry of Health, NGOs, UN agencies) and attend relevant technical meetings.</li><li>Represent MSF in epidemiological and surveillance forums.</li><li>Provide functional supervision and professional guidance to staff under his/her line management.</li><li>Support performance management, work planning, and follow-up of epidemiology team members.</li></ul><h4>Minimum Qualification, Skills and Experience Required</h4><p><strong>Education:</strong> </p><ul><li>Essential: Medical doctor (preferable), nurse or biomedical background</li><li>Essential: degree (masters) in Epidemiology or Advanced Field Epidemiology Training Programme (FETP) (not in public health)</li><li>Desirable: training in Monitoring & Evaluation, Data managemen.</li></ul><p><strong>Experience:</strong></p><ul><li>Essential working experience of at least two years in Epidemiology, or relevant Surveillance, Monitoring and Evaluation within health projects in a humanitarian setting</li><li>At least few years of tropical medicine experience (having assumed coordination position is a plus)</li><li>Desirable working experience with MSF or other NGOs.</li></ul><p><strong>Knowledge:</strong></p><ul><li>Essential computer literacy (word, excel, internet)</li><li>Essential knowledge of DHIS2 and of an analytical/statistical software (Epi-Info, STATA, R, etc.)</li><li>Desirable knowledge of QGIS, Osmand, PowerBI, KoboCollect, ODK, RedCap.</li></ul><p> </p><ul><li><strong>NB: </strong>Candidates from the humanitarian sector, including MSF, whose experience does not meet the requirements outlined in this job description will not be considered.</li></ul><p>Interested candidates are requested to send the applications with documents; (Updated CV, Educational certificates, work experience certificates, previous employers’ references and copy of their national ID) to:</p><p>To apply online here at the following link: <strong>Sudanjob.net</strong></p><p><strong>OR</strong></p><p>Via hand delivery of the application to MSF Belgium offices in Khartoum (Erkawit - House # 263- Block 48) or Port Sudan office (House # 237, Block no.1, Hai Almattar area, Port Sudan).</p>
