<p>Vacancy No: 202026<br>Section/Unit: HR, Finance, Administration<br>Grade Level: 6<br>Supervisor: Administration Manager<br>No. of Post: 1<br>Duty Station: Abu Jubaiha - South Kordofan<br>Duration: 6 Months with 3 months trial period<br>Closing Date: 18 August 2026</p><h4>Background</h4><p>Execute administrative tasks and do follow up of project accountancy, according to administration manager’s indications and <strong>MSF</strong> procedures, in order to ensure legal compliance and keep a strict control over monetary resources.</p><h4>Duties and responsibilities</h4><ul><li>Execute administrative and legal related tasks, under supervision of the Administrator Manager, checking payroll calculations and updating personal files in order to ensure accuracy, compliance and on time payments. </li><li>Implement cash management procedures in order to ensure the highest control and security, and ensure cash availability. </li><li>Prepare employment contracts in conformity with legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance. </li><li>Enter data into the HR database and personal files and keep them up-to-date in order to facilitate HR processes management. </li><li>Update Social security & Tax office employee files in order to meet legal requirements and duties. </li><li>Draw up monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll. </li><li>Draw up the final pay slip and employment certificate at the end of a contract in order to meet legal requirements while defending <strong>MSF</strong> ’s interests. </li><li>Follow up all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange a renewal or look for some other alternative. </li><li>Assist the administration manager in the prevision of monthly treasury and planning in order to ensure the coverage of daily needs, advances on salaries, payroll, etc. </li><li>Process the payment to suppliers and keep strict on all documentation involved, informing the administration manager of any sort of disparity. </li><li>Carry out all accounting tasks and activities in order to ensure strict control of all expenditures and the reliability of statements and documentation. </li><li>Make all administrative information available to the staff (posting, meetings, etc.) </li><li>Classify and prepare all accounting pieces as requested by the Administration Manager. </li><li>File the accounting documents and enter the accounting pieces in the accounting software, with the support from the Administration Manager and/or the Accounting Manager (ACMA). </li><li>Support the Administration Manager in translating documents into local language. The SRCS operates across the Sudan with 18 branches.</p><p>The mission of (SRCS) is to provide humanitarian aid services towards building secure and capable urban and rural communities through the transition to resilience, recovery, rehabilitation and development, in compliance with International Red Cross and Red Crescent Movement Principles and guidelines and in conformity with international human rights, through a sustainable development approach where environment conservation and rationalized use of natural resources are considered top priorities to help guarantee a safe global environment for future generations. </p><h4>Duties and responsibilities</h4><p><strong>Job Responsibilities and Tasks:</strong></p><ul><li>Conduct regular patrols of the premises, including parking lots, office buildings, and entry points, to identify potential risks.</li><li>Monitor and operate surveillance cameras and alarm systems to ensure real-time awareness of security conditions.</li><li>Respond promptly to alarms, disturbances, and emergencies, ensuring the safety of employees and visitors.</li><li>Enforce security protocols, including verifying IDs, controlling building access, and managing visitor logs.</li><li>Perform routine inspections of doors, windows, and equipment to prevent unauthorized access or damage.</li><li>Prepare detailed incident reports and maintain accurate logs of daily activities and observations.</li><li>Maintain organization's stability and reputation by complying with legal requirements.</li><li>Protect the company's assets relative to theft, assault, fire, and other safety issues.</li><li>Follow procedures for various initiatives, including fire prevention, patrolling premises regularly, traffic control, and accident investigations</li><li>Report suspicious activity, criminal behavior, and security breaches </li><li>Control traffic by directing drivers.</li><li>Prevent losses and damage by reporting irregularities, informing violators of policy and procedures. </li><li>Complete reports by recording observations, information, occurrences, and surveillance activities; interviewing witnesses; obtaining signatures.</li><li>Remain in compliance with local, state, and federal regulations.</li><li>Provide clear guidance to employees and visitors on safety protocols and emergency procedures.</li><li>Assist in evacuations or other emergency actions when necessary.</li></ul><h4>Minimum Qualification, Skills and Experience Required</h4><ul><li>Previous experience in security, military, is strongly preferred.</li><li>Diploma or equivalent is required; additional certifications in security, such as CPR or First Aid, are a plus.</li><li>Four 4 years at least with INGOs. </li><li>Exceptional attention to detail and situational awareness.</li><li>Strong problem-solving and critical-thinking skills.</li><li>Ability to remain calm and composed during emergencies or high-pressure situations.</li><li>Proficiency in operating surveillance systems, security software, and communication tools.</li><li>Excellent verbal and written communication skills for creating reports and interacting with individuals.</li><li>Following Complex Instructions</li><li>Interpersonal Skills</li><li>Knowledge of Security Operations and Procedure</li><li>Manage Multiple Tasks</li><li>Knowledge of Basic Security and Fire Inspection Procedures</li><li>Physical fitness to handle patrolling, standing for long periods, and responding to incidents quickly.</li></ul><p> </p><p>Only Short listed Can be Contacts </p>
