The</p><p> </p><p><strong>Warehouse management</strong></p><ol><li>Related tasks:</li></ol><ul><li>To keep the warehouse clean and tidy and in functioning state. </li><li>To ensure that all material is stored in a safe and clean place and is easily identifiable </li><li>To monitor on a daily basis all movements (in and out) of material stored in the stock and be sure that each movement is traceable by filling in the proper format related: stock card, release order, follow up tools, etc. </li><li>To deliver fuel and others items following the procedures</li><li>To attribute one store card to each item and ensure that each store card has one number.</li><li>To ensure an efficient stock management according to the rotation and to expiry dates (FIFO, FEFO)</li><li>To receive the material and check the quantity and quality according to the waybill or packing list.</li><li>To dispatch cargo and arrange truck for dispatching (WB, PL )</li><li>To arrange cargo to WFP warehouse </li><li>To guarantee an optimal security of the store (in collaboration with the logistics supervisor).</li><li>To inform the logistics head in case of a loss of material.</li><li>To organize a regular inventory of the stock and to update the stocks follow up documents. </li><li>To update regularly the state park follow up. </li><li>To ensure everyday the starting of the generator and make the daily check (fuel, oil, water, global condition…)</li><li>To ensure that the fuel stock is always ready (Quantity, quality, Jerrycan…)</li><li>To follow up the consumption of fuel on daily basis</li><li>To make monthly table consumption of important items (fuel, soap, inventory, oil…)</li><li>To do a daily feed back to the logistician</li><li>To plan the needs and order for consumable materials</li><li>To managing warehouse operations and ensuring optimum inventory levels to achieve maximum cost savings with minimum holding of stock.</li><li>Follow delivery/pickup instructions from Dispatcher and or.</li></ul><p> </p><p><strong> 2.Purchase and supply</strong></p><p> Related Tasks</p><ul><li>Perform all purchases in respect of TGH rules, according to the procedures (simple purchase, quotations, negotiated process, etc.).</li><li>Ensure that all relevant documents (quotations, POs, etc.) have been brought to knowledge of Logistics Manager/Logistic Supervisor before and after purchase. </li><li>Manage delivery of materials ordered at base or at camp according to defined needs, under supervision of the logistics Manager.</li><li>Organize and check proper loading and unloading of material according to TGH procedures.</li><li>Prepare the weekly team meeting and provide information regarding past week activities (achievements and issues) and coming week activities.</li><li>Provide monthly updated list of prices for supplies and goods on the souk.</li><li>Maintain the records of the purchase orders and goods purchased under the same and hand over to the concern staff in proper way and after maintaining the record</li></ul><p> </p><p><strong> 3.Fleet and equipment </strong></p><ul><li>Ensure periodic maintenance of all the equipments consulting with technical persons this including (generator, VHF, HF ...other equipments) </li><li>Check vehicle condition and repair them if needed in the assistant with driver</li><li>Adhere to all safety requirements particular to the equipment, including vehicles </li><li>Maintain the service and appearance of vehicle and motorbike in assistant with Driver </li><li>Ensure the insurance of vehicle in the place every time. </li></ul><p> </p><p><strong> 4. Participates to all logistics activities</strong></p><p> Related tasks: </p><ul><li>To receive and send radio messages</li><li>To participate to internal meetings as requested by the logistics Manager</li><li>To help the logistics of any others matter if needed</li></ul><p> </p><p><strong> 5. Information and communication asset follow-up and maintenance</strong></p><ul><li>Manage ICT tools and devices throughout the mission (especially in the field offices).</li><li>Diagnose and resolve usage or maintenance issues with the ICT assets (computers, printers, radios, phones, etc.)</li><li>In coordination with HQ ICT Consultant, ensure the activation and setup of email accounts for TGH personnel through Microsoft Office Outlook and troubleshoot any issues with their functionality. </li><li>Regularly update the ICT inventory in coordination with Logistic Coordinator.</li><li>Repair and/or replace broken or non-functioning spare parts; prepare a technical report on all un-repairable items.</li><li>Design a contingency plan of ICT equipment, together with the Log Coordinator, and manage the contingency stock. </li><li>Test new ICT items before sending them to the field; install them at field level.</li><li>Ensure laptops sent to the field have the necessary software (anti-virus programs) and make sure that it works properly; upgrade it or install missing programs when needed.</li><li>Assist in the setup and maintenance of basic office IT infrastructure, such as printers, scanners, and photocopiers.</li><li>Assist in the setup and configuration of audiovisual equipment for meetings, workshops, and training sessions.<ul><li>Ensure the proper use of ICT tools and devices in all TGH offices, in coordination with Logistics Managers and ICT Focal Points).</li></ul></li></ul><p> </p><ul><li>Support and train staff members in the use of office software applications, including word processing, spreadsheet, and presentation software.</li><li>Brief new staff on ICT equipment usage, including when new items are installed.</li><li>Ensure that users physically clean the ICT tools and devices regularly; coordinate with logistics team to ensure that appropriate cleaning materials are available at TGH bases.</li><li>Devise and manage an appropriate system (in external drives or online where feasible) for TGH laptops to be backed up regularly, in coordination with Field Coordinators and program and support department heads. </li><li>Devise and manage an appropriate system to ensure that computers are regularly defragmented and virus-scanned.</li><li>Inform the Logistics Coordinator about any difficulties regarding maintenance issues and missing spare parts, and any misuse of equipment by staff.<ul><li>provides support and troubleshooting to colleagues to help them use Google Workspace more effectively (in coordination with the mission's “Google Workspace Referent”).</li></ul></li></ul><p> </p><ul><li>Introducing the tool to new colleagues</li><li>Troubleshooting connection issues</li><li>Troubleshooting access or sharing issues<br><br><ul><li>Ensure the good functioning of network connections in TGH offices, in coordination with the Logistics Managers and ICT Focal Points.</li></ul></li><li>Liaise with connection-providers (internet, radio, phone, etc.) on technical isssues.</li><li>Assist in the set up and maintenance of internet and other communications networks in TGH, including network and, when necessary, telephone wiring, installation of sockets, preparation of patch cables, and testing of cables and sockets</li><li>Set up a system, with the Field Coordinators and ICT focal points at base level, to control the sharing of wi-fi passwords.</li></ul><p> </p><p><strong> 6. Skills transfer</strong></p><ul><li>Establish and support a network of ICT Focal Points among TGH staff across Sudan mission.</li><li>In collaboration with the Logistics Coordinator and the Field Coordinators, select at least two staff in each TGH office to be trained to carry out basic ICT maintenance and technical advisory tasks with their colleagues. </li><li>Develop and implement a training program with the ICT Focal Points to raise their capacities; carry out maintenance tasks (in-person during field office visits and remotely) with the selected staffs following an “action learning” methodology.<ul><li>Provide advice and troubles-shooting support to computer users across TGH Sudan mission:</li></ul></li></ul><p> </p><ul><li>Daily answers to software related questions to TGH staff</li><li>Give advice on how to use ICT equipment properly</li><li>Provide remote technical support.<ul><li>When needed, update the procedures for the use and maintenance of ICT devices.</li></ul></li></ul><p> </p><ul><li>Draft and regularly update ICT training and usage resources (checklists, user guidelines, etc) for dissemination to TGH staff.</li><li>Participate actively in the training courses recommended by TGH, and share the new skills and knowledge learned with colleagues.</li></ul><p> </p><p><strong> 7. Capitalization</strong></p><ul><li>Oversee the gathering and reporting of information about ITC issues, identifying lessons learned and gaps to be addressed.</li></ul><p> </p><ul><li>Report common problems and main ICT issues to the Logistics Coordinator, with recommendations on solutions.</li><li>Identify best practices throughout the mission, formalize them and share them among the staff.</li><li>Provide advice on technical specifications for procurement of new equipment (laptops, printers, etc), and assist in the pre-qualification assessments of ICT suppliers.</li><li>Review the MEAL and Program staff needs for ICT equipment and software in field activities (Kobo, etc) and provide guidance to them on best practices.</li></ul><p> </p><p>Any other tasks may be required for the running of the projects</p><p> </p><p><strong> 8.
